About the Position

The Santa Fe Institute is looking for a tech-savvy assistant to support our high-energy Applied Complexity team. The Applied Complexity group is responsible for disseminating SFI's insights beyond academia. Towards this end, we collaborate with government agencies, businesses, donors, NGOs, and other nonprofits. The successful candidate will have a strong technical acumen and the ability to work in a fast-paced environment with strong attention to detail. There will never be a dull moment.


The ideal candidate will be:

  • able to handle sensitive and confidential information and possess good judgement.

  • sensitive to cultural diversity.

  • able to work effectively with a wide range of constituencies that are culturally, socio-economically, ideologically, and politically diverse.

  • able to lift and carry up to 20 pounds.


Primary job responsibilities include:

  • Events: communicate logistical information to attendees and speakers; provide answers to general event questions; provide logistical support for local and out-of-state meetings, including booking venues and vendors; process speaker reimbursements; manage digital registration forms; and process incoming registrations.

  • Data Organization: enter and update member information; create and pull existing reports from web-based systems; and create and maintain processes for internal record-keeping using web-based systems (e.g. Box, Evernote, Salesforce).

  • Web: update and maintain Applied Complexity Network webpage, event wiki, and YouTube page.

  • Design and Editing: work with in-house designer to help edit event materials, brochures, and other formal communication materials using InDesign, Photoshop, and MailChimp.

  • Communications: act as the first point of contact with the public, routing requests for more information appropriately.

  • Finance: route and code invoices; create, send, and track reimbursements; and acknowledge a subset of donations on a weekly basis through a report generated in Salesforce.

  • General Administrative: create sales packets; help draft and print event documents and name tags; ship materials to event locations; and miscellaneous errands (mileage reimbursed).
